The Talent Acquisition team is a critical part of integrating new hires and contingent workers into the organization. This team aims to make team members feel welcome and prepared to start their new opportunity at CentraState Healthcare System

 

The Onboarding Coordinator will coordinate onboarding and engagement activities for contingent workers, new hires, and internal transfers.

Responsibilities

Primary responsibilities include but not limited to:

  • Supports our outstanding Talent Acquisition Team to successfully onboard and process contingent workers, new hires, and internal transfers, with a focus on an outstanding candidate experience. This includes monitoring pending clearances and required documentation prior to start.
  • Obtains all required onboarding information for contingent workers and enters data into appropriate system.
  • Coordinates required onboarding occupational health appointments and/or validate occupational health requirements are met prior to start.
  • Processes and ensures completion of background checks. Maintains communication between Background Vendor and candidate when background check reports are still pending. Follows up and make inquiries regarding inconsistent and/or derogatory findings.  Follows up and make inquiries regarding the reasons for delays and alerts.  Notifies recruiter and/or department management of any delay.
  • Obtains formal attestation from agency or partner provider related to vaccine status, licensure, education, occupational health clearance, background check, where appropriate, for contingent workers prior to start.
  • Schedules Occupational Health appointments and appropriate orientation as part of on boarding process.
  • Communicates with department managers, provider partners, vendors, contingent workers, and candidates about required information. Provides status updates during onboarding process. 
  • Identifies and resolves any questions or issues that present during the onboarding process. Responds to inquiries timely and with resolution.
  • Follows up to ensure compliance for annual mandatory requirements for contingent workers.
  • Verifies off boarding status with department managers and provider partners for contingent workers.
  • Coordinates ID badging for contingent workers.
  • Collects and includes all related documentation in electronic files for record keeping.
  • Documents all work and transactions in appropriate HRIS system.

Additional Responsibilities:

  • Obtains licensure/certifications where required. Complete primary source verification of licensure or certification to validate eligibility for employment where required.
  • Completes reference checks, employment and education verifications when necessary.
  • Responsible for completing Form I9 and e-verify for CentraState and AMG team members, meeting all legal requirements.
  • Facilitates packet orientations and badge creation with Talent Management team.
  • Manages Referral Bonus program and sends payment documentation to payroll.
  • Coordinates interviews with recruiter and hiring managers, as needed.
  • Coordinates meetings for executives, physicians, vendors, and HR leadership.
  • Assists in the coordination of recruiting events including open houses, hiring events, job fairs, university outreach and program luncheons.
  • Prepare, modify and disseminate orientation lists.
  • Participates in recruiting and HR projects, including candidate tracking and process documentation.

 

Qualifications

  • HS Diploma required, Associates or Bachelor’s degree preferred
  • Previous clerical experience in HR strongly preferred
  • Ability to maintain confidential information and accurate records
  • Ability to work independently, problem solve, and successfully multi-task in a fast paced environment
  • Strong data-entry skills
  • Strong organizational skills with attention to detail and exceptional follow through
  • Positive and outgoing with exceptional communication skills to effectively and appropriately interact at all levels of the organization
  • Proficiency with Microsoft Office: Outlook, Excel, Word, PowerPoint
  • Proficiency with an Applicant Tracking System preferred
