Overview

Provides administrative, clerical and receptionist support to busy front desk and office staff in the Health Awareness Center/Novo Nordisk Diabetes Center. 

Duties include: Register participants in community wellness programs, check-in patients for appointments, answer phones, greet guests, order supplies, input information to class registration system, and other duties as assigned. Must have good customer relations skills, critical thinking skills and sense of ownership.

 

Work schedule is: Part time 30 hours/benefits eligible

Monday-Thursday: 12pm-5:30pm
Friday's are 8am-4pm
occasional Saturday's 8:30-10:00am

Responsibilities

  • Assembles and distributes class/event rosters on a daily basis.
  • Upload classes & events in registration platform
  • Schedules appointments through EPIC
  • Confirms appointments for following day & pre-registers patients
  • Check in and check out patients & attendees for education, classes and consults
  • Orders office and medical supplies.
  • Prepares contracts for classes-events
  • Supports office staff with clerical duties.
  • Takes appropriate payment and documents according to procedure.
  • Handles all incoming telephone calls made to the department in an appropriate manner.
  • Normal office environment. Frequent contact with the public. 
  • Manages checks, credit cards, receipts, and cash on the daily basis. And prepares bank deposits. 
  • Maintains all records and documentation to ensure compliance with AHA and ADA guidelines.
  • Registers clients for HAC/NNDC programs and insures all information is correct.
Qualifications

Education:

  • High School graduate or equivalency with additional training in secretarial skills.

Work Experience:

  • Minimum of five years secretarial experience, preferably in health care.

Licenses and Certifications:

  • None

Required Knowledge and Skills:

  • Ability to type a minimum of 50 wpm.
  • Shorthand or speed writing skills necessary in order to take minutes at meetings.
  • Computer experience including advanced word processing, spreadsheets, presentations, organizational charts, and database management.
  • Ability to use standard office machines including copiers, multi-line phones and facsimile machines.
  • Strong writing ability with a working knowledge of proper grammar, spelling, punctuation and sentence structure.
  • Knowledge of business math.
  • Ability to handle multiple priorities and work independently with limited guidance required.
  • Strong professional, organizational, and interpersonal skills to effectively relate with all members of the healthcare team.
